Do you ever catch yourself assuming things? It starts off innocently — maybe guessing what a friend needs, or assuming someone’s tone over text. But over time, that habit sneaks into your business. You find yourself thinking about what your ideal customers want, what they’re struggling with, and what kind of content will help them. It feels efficient, like you’re staying ahead. However, in reality, assumptions are often the quickest way to miss the mark.

When we rely on guesswork instead of genuine insight, our content fails to connect. It may sound polished, even passionate — but if it doesn’t reflect what your audience is actually thinking and feeling, it falls flat. You’re left wondering why no one’s engaging, clicking, or reaching out.

The good news? It can be fixed. The most effective content doesn’t start with writing — it starts with asking and listening. When you stop guessing and start getting curious, you’ll uncover the exact language, struggles, and desires that make your message feel like it was written just for them.

Here’s how to create content that resonates — the kind your ideal customer reads and says, “Wait… were you reading my mind?”

Step 1: Get Clear on Who You’re Talking To

You can’t speak directly to someone if you don’t know who they are.

Start by defining your ideal customer. Who lights you up to work with? Who gets the best results from your offers? Consider their lifestyle, values, challenges, and goals — not just their demographics, such as age or income. Go deeper. Picture a real person, not a vague avatar.

Step 2: Ask, Don’t Assume

This is where the magic happens. Start having real conversations with the people you want to serve. That can look like sending out a short survey or simply DMing someone and asking if they’d be open to chatting.

Here are a few powerful questions to ask:

  • What’s the biggest challenge you’re facing right now?
  • What’s the biggest fear that keeps you up at night?
  • If you could wave a magic wand and fix one thing in your business/life, what would it be?
  • What would you like someone to tell you?
  • What’s stopping you from taking action right now?
  • What are your dream outcomes in business?

Keep it open-ended. Let them talk. And most importantly — listen.

Step 3: Capture Their Language

This step is often overlooked, but it’s one of the most important. Pay attention to the exact words they use. Not your words. Not expert lingo. Theirs.

If they say, “I feel scattered and overwhelmed every time I sit down to post on Instagram,” don’t reframe it as “They’re struggling with content strategy.” Use their actual phrasing. Their language is what will make your content feel relatable and personal.

Step 4: Create Content That Solves Real Problems

Now that you understand their pain points and how they discuss them, begin writing content that addresses those challenges. Don’t overthink it or try to sound overly professional. Just be clear and helpful.

You might share:

  • A quick tip they can apply to their business or life
  • A myth you can bust that’s keeping them stuck
  • A mindset shift they need to hear
  • A behind-the-scenes story of how you’ve helped someone like them

Step 5: Make Your Message Clear and Powerful

Your ideal customer is busy. They’re scrolling fast, multitasking, and trying to find quick solutions. If your message is murky, wordy, or too abstract, they’ll move on — even if what you’re offering is exactly what they need.

This is why your content needs to make them feel one thing instantly: “This is for me.”

That feeling comes from clarity. From speaking directly to their specific needs. From using their language. From showing that you get it — and that you’ve got them.

Just as I did when I created the CALMING Social Media Subscription, I knew exactly who it was for because I listened. I had conversations, paid attention to what overwhelmed solopreneurs and mompreneurs were telling me, and noticed common threads:

“I don’t have time for content.”

“I feel pressure to be everywhere.”

“I always worry about what to post next.”

I let those insights shape every piece of the offer — from the content style to the tone and even the name, CALMING.

So every time I create a post, I write it with them in mind. That clarity makes the messaging magnetic and makes them feel they are in the right place.

And you can do the same.

👉 If you’re an accountant, your ideal client might be small business owners who feel totally lost with taxes and bookkeeping. Speak to their stress. Share tips in plain language. Let them know you’re the calm in their financial chaos.

👉 If you’re a lawyer, think about the real fears your clients have — legal jargon, making mistakes, feeling unprotected. Use clear, comforting language that helps them feel safe and supported.

👉 If you’re a virtual assistant, your audience might be overwhelmed CEOs or creatives drowning in admin tasks. Show them you understand their mental load — and that you’re the partner who can help lighten it.

When you take the time to understand your ideal customer — in their words, from their perspective — you’ll find that your content becomes easier to write and way more effective. No more shouting into the void. Just clear, confident messaging that speaks to the right people at the right time.
